Omschrijving vacature: 

As a Business Unit (BU) Assistant you support the BU with all administrative,
organizational and logistical tasks and take up some additional tasks for congress services

• Organize internal meetings and write the minutes
• Coordinate the information flow in the Business Unit
• Draft, follow up and manage the sponsoring contracts with support of the Business Unit
• Translations in Dutch, French and English
• Re-read advertising material, mails, documents, …
• Contacts by email or phone with clients
• Travel bookings (transport, hotel)
• Logistic Organization of Advisory Boards, Meetings with physicians, etc.
• Manage the agenda of the BUM & Product Managers
• Additionally to the administrative tasks, you develop - with support of the Sales & Marketing Manager – a few marketing activities and materials

For congress services:

• Build a strong and trusted relationship with the event owner. Get involved in content/agenda planning of an event to provide overall counselling on event objectives
• Closely manage the activities of third party event agencies, within the established budget, respecting processes, policies, procedures and the organization
• Actively participate in directing the third-party event agency in the reconciliation of expenditure and budget management


• Bachelor degree in office management
• Strong organization- and communication skills (written and spoken NL, FR and ENG)
• Excellent software user with proficient knowledge of Microsoft Office Tools
• Good organizational skills
• Pro-active and solution minded
• Accurate, autonomous and flexible
